The Canadian picture27%
of Canadian SMEs surveyed said delays in incoming or outgoing payments were the payment challenge they experienced most in the previous six months. It was the most common answer.
Payments Canada, A spotlight on small business payments. Leger online survey of 500 businesses, July to August 2024; SMEs defined as annual revenue under $10 million. Published October 2024.
Most Canadian employers are small businesses. Their AR usually sits with a small team.
98.2% of Canada's 1.10 million employer businesses are small businesses with fewer than 100 employees. As a B2B company grows, AR tends to start as part of someone's job and grow into work that needs its own process and capacity.
Each new customer adds approvals, promises, queries and remittances, not just invoices. The team handling it rarely grows at the same pace, so the extra work either slips or lands on senior people. Steinfin adds managed AR capacity above what your team can absorb.
Invoice volume has increased
The finance team has limited capacity
Founders or senior staff still follow up payments
Customer communication is inconsistent
Promises are not tracked systematically
Disputes stay open too long
Cash application takes up finance time
Another full-time AR hire is not the right move yet
An invoice can be past due because nobody has replied, AP has not approved it, a PO is wrong, a deduction was taken, part was paid, or the payment went out without a remittance. Each needs a different next action. That is the difference between managed AR and reminder software.

What Steinfin can manage
Our services, in plain terms.
Some of our service names come from UK usage. Here is what each one means for a Canadian finance team, and where to read more.
Older ledgers sometimes need AR cleanup first: old open invoices, unmatched payments, stale promises and disputes with no next action, sorted before ongoing work begins.
Sorting out an older ledger so every open item has a status and a next step.

Professional follow-up, on terms you set.
Steinfin handles agreed payment follow-up in your company's name while you keep the commercial relationship. Tone, timing, sensitive accounts and escalation points are agreed with you before anything goes out.

What accounts receivable services does Steinfin provide to Canadian businesses?
Steinfin runs day-to-day accounts receivable work for Canadian B2B companies: invoice follow-up, payment promises, dispute and deduction tracking, cash application, AR cleanup and regular reporting. It is a managed service, so our people do the work, supported by our own systems.
Can Canadian companies outsource accounts receivable?
Yes. Many companies outsource part or all of their day-to-day AR work. With Steinfin, you choose which work to hand over and you keep the commercial decisions and the customer relationships.
Can Steinfin work alongside our internal finance team?
Yes. Some companies hand over all routine AR work; others give Steinfin a defined part, such as past-due follow-up or cash application, while their own team keeps the rest.
Will Steinfin contact customers directly?
Yes, in your company's name, using wording, tone and timing you approve before we start. Key or sensitive accounts can be handled differently, or only as you instruct.
Do we keep control over credits, write-offs and commercial decisions?
Yes. Credits, write-offs, settlements, pricing changes and payment plans outside the agreed rules are your decisions. Steinfin never issues credit notes, writes off invoices, moves money or starts legal action.
Can Steinfin work with QuickBooks, Xero or Sage?
Yes. Steinfin works alongside QuickBooks, Xero and Sage. You give us authorized access from your own account, at the level you choose, or send us regular exports if you prefer. We never ask for your password.
How does Steinfin access our accounting information?
Usually through authorized access that you grant from your own accounting account and can remove at any time. If that does not suit your setup, you send regular exports, such as an AR aging report, open invoices and payments received, and we work from those.
Can Steinfin manage invoice disputes and deductions?
Yes, from the Growth plan. We identify each issue, record it, route it to the right person and follow it up until it is resolved. Approving settlements, changing prices and issuing credits stay with you.
Can Steinfin help with cash application?
Yes, as part of the Scale plan. We match EFT, cheque and other payments to the right invoices using remittances and references, and flag short pays, overpayments and unapplied cash for you. We never move money.
Can Steinfin help clean up old AR?
Yes, as part of the Scale plan. Cleanup works through old open invoices, unmatched payments, stale promises and unresolved disputes, and gives every item a clear next step.
How much does accounts receivable outsourcing cost in Canada?
Plans are a monthly retainer in CAD. Starter starts from C$499 a month and Growth from C$999 a month, scaling with the size and state of your ledger. Scale is quoted once we understand your ledger. The pricing page sets out what each plan includes.
Which provinces does Steinfin work in?
Steinfin currently works with companies in Ontario and Alberta, following up amounts owed by incorporated businesses in those provinces. Collection rules differ by province, and the other provinces and the territories are not currently available.
Does Steinfin support French-language customer communication?
Not at present. Steinfin's service is English-first. If you need French-language communication with your customers, raise it with us before engagement so we can tell you plainly what is possible.
How do we get started?
Start with the free AR health check. Tell us a little about your invoicing and we reply within one business day with an honest read on where cash is being held up. If it makes sense to work together, we agree the scope and your customer rules, set up access, and begin.
