How it works, answered.

How do you get our invoice information?

We work alongside the accounting system you already use, such as Xero, QuickBooks or Sage, through authorised access you grant from your own account, or regular exports, and work from the invoice and customer information. You carry on raising invoices exactly as you do now.

Do we need to change accounting software?

No. Steinfin fits around your existing setup. Nothing about how you invoice has to change.

How do you contact our customers?

By email and phone, in your name, using the wording and tone you approve during onboarding. To your customers it reads as your own finance team getting in touch.

Can we approve the wording, and exclude certain customers?

Yes to both. You sign off the tone and templates, and you can hold back or handle sensitive accounts differently. We only work the accounts and in the way you agree.

Who decides when an account is escalated?

You do. Escalation rules are agreed at the start, and anything sensitive or unusual is flagged for your decision rather than actioned on its own. Legal steps are never automatic.

Can we still contact customers ourselves?

Yes, any time. Every contact is recorded, so you and Steinfin stay in step and nobody gets chased twice.

How do you track promises to pay?

When a customer gives a date, we record it against the account with a next action, and follow up the moment it is missed. Promises do not get lost in an inbox.

How can we see what Steinfin has done?

You get a clear view of every account: what is outstanding and overdue, the last contact, any promise or query, the next action and whether it has been paid. It all comes to you in regular reporting.

How quickly can you start?

Once we have reviewed your ledger, agreed your rules and set up access to your accounting information, we begin working the accounts. We agree the start date with you.

Do you use automation or AI to contact customers?
