Accounts receivable management

Stay in control of every invoice, from sent to paid.

You keep raising invoices. Steinfin keeps everything between invoice and payment organised, followed up and visible, so you always know what is owed, what is overdue, what has been promised and what needs attention next.

The simple version

What accounts receivable management means.

Accounts receivable is simply the money your customers owe you. Managing it means keeping track of every unpaid invoice, following it up, clearing anything that holds payment back, and always knowing what should come in next. Steinfin does that work for you, while you keep full control.

Most invoices do not travel in a straight line. When one stalls, Steinfin manages it back on track.

The real problem

The problem is not just late payment. It is the lack of one clear view.

For most businesses, the information about who owes what is scattered. A promise sits in one person's inbox, a query in another, the numbers in the accounting system, and the follow-up in nobody's diary. It is hard to know what actually needs doing today.

One managed receivables process Every account in one place, with a status and a next step
What we manage

A complete receivables function, run for you.

This is the full scope, working on every account at once, not just the ones that have gone overdue.

Monitor

Keep sight of what is outstanding and what is coming due.

Prioritise

Work the biggest and oldest balances first.

Follow up

Contact customers consistently, in your name.

Track

Record promises, replies and the next action on every account.

Resolve

Chase down the queries that are holding payments up.

Escalate

Bring sensitive accounts back to you for a decision.

Report

Give you a clear view across the whole ledger.

The principle

Every account has a status and a next action.

No invoice should sit in the ledger with nobody knowing what happens next. That is the whole idea behind managed AR: at any moment, every active account has a clear state, a last action and a next step.

More than invoice chasing

Chasing asks if you have been paid. Managed AR asks why not, and what next.

Simple invoice chasing is useful, and it is part of what we do. Managed AR goes further, because an invoice is usually late for a reason worth understanding.

Invoice chasing asks
Have they paid yet?
Managed AR also asks
  • Why has it not been paid?
  • Who has spoken to them, and when?
  • What did they promise?
  • Is there a query in the way?
  • What needs to happen next?
  • What should we expect to receive?
The things that hold payment up

Queries and promises, kept moving instead of forgotten.

Most late payments are not refusals. A question goes unanswered, or a promise gets lost. Managed AR keeps both moving towards payment.

A query, resolved
  1. Overdue
  2. Customer replies: missing PO
  3. Brought to you for the number
  4. Query cleared

We surface the real reason early and keep it moving. Anything needing your authority comes back to you.

People, supported by good systems

You get the visibility, without having to run the process.

Our people handle the conversations and the judgement calls. Our systems keep every account organised, so nothing is forgotten. You simply get a clear view, and you never have to ask:

  • Has anyone chased this account?
  • Did the customer reply, and what did they say?
  • When did they promise to pay?
  • What should come in this week?

Your accounting stays where it is. We manage the rest.

Your accounting software is where your financial records live. With authorised access or regular exports, we see what is outstanding, and our systems organise the actions, communication and promises around each account. You do not have to rebuild anything or change how you invoice.

Build it, or have it run for you

Managing receivables well takes more than one hire.

To run a proper AR function in-house, you have to build and maintain every part of it. With Steinfin you get the whole function, ready to run. If you are weighing it up, see AR outsourcing compared with hiring in-house.

Questions

Accounts receivable management, answered.

What is accounts receivable management?

It is the day-to-day work of keeping track of what your customers owe, making sure every invoice is followed up, resolving anything that is holding payment back, and keeping a clear view of what should come in next. In short, it is staying in control of the money you are owed, from the moment you invoice to the moment you are paid.

What does accounts receivable management include?

Steinfin manages the whole receivables process for you. We monitor what is outstanding, prioritise what needs attention, follow up with customers in your name, track promises to pay, chase queries to resolution, flag anything that needs your decision, and give you a clear view of it all. You keep raising invoices as usual; we keep everything after that organised and moving.

What is the difference between accounts receivable management and credit control?

Credit control is the active follow-up that gets an invoice paid: reminders, calls and chasing overdue accounts. Accounts receivable management is broader. It includes that follow-up, but also organising the whole ledger, prioritising accounts, tracking promises and queries, reporting and giving you visibility across everything you are owed. Credit control is one part of managed AR. If you mainly need consistent chasing, see our outsourced credit control service.

Can Steinfin work with our accounting software?

Yes. We work alongside the systems you already use, including Xero, QuickBooks and Sage, through authorised access you grant from your own account, or regular exports. Your accounting software stays where your financial records live; we use the receivables information to manage the follow-up and report back to you. You do not need to change how you invoice.

Will you manage every invoice, or just the overdue ones?

We manage the whole receivables picture, not only the overdue accounts. That means keeping an eye on invoices that are still current, sending reminders before the due date, and acting the moment something slips, so fewer invoices become overdue in the first place.

What happens when a customer raises a query?

We spot the query early, log it, and follow it up so it does not quietly hold up payment. If it needs a commercial decision or information only you have, we bring it back to you clearly with the context attached, then keep it moving once you respond.

Can we still contact customers ourselves?

Yes. You can step in on any account whenever you want to. We coordinate so a customer never gets contacted twice, and you keep authority over sensitive relationships and commercial decisions.

What visibility do we get?

A clear view of what is outstanding, what is overdue, what has been promised, what has a query and what has been paid, with the history and next action on every account. You should not have to ask whether something has been chased; you can just look.

How quickly can outsourced AR management start?

Once we have reviewed your ledger, agreed your rules and set up access to your accounting information, we begin organising and working the accounts. We agree the start date with you.

How much does accounts receivable management cost?

It is a simple monthly retainer based on the size of your ledger, so the cost is predictable. See the pricing page for the current tiers, shown in your local currency.
